Requirements

  • Minimum of 6 months to 1 year of experience as a Virtual Assistant, Personal Assistant, or in a similar administrative support role.
  • Completion of senior high school education or equivalent.
  • Strong written and verbal communication skills for phone, email, and online messaging interactions.
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Proactive mindset with willingness to learn new tools, processes, and responsibilities.
  • Comfortable working US business hours, including night shifts when required.
  • Strong technology skills and familiarity with remote work tools, cloud services, desktop sharing, and VoIP platforms.
  • Experience using productivity tools such as Microsoft Office, spreadsheets, and word-processing applications.
  • Familiarity with online calendars and scheduling tools such as Google Calendar.
  • Ability to work remotely with a reliable home office setup, including a noise-cancelling USB headset and working webcam.
  • Computer with at least 1.8 GHz processor and 4GB RAM.
  • Main internet connection with at least 25 Mbps wired speed and backup internet connection with at least 10 Mbps.

Responsibilities

  • Organize, store, and maintain company documents, files, and important information in an efficient and accessible manner.
  • Perform data entry tasks, including preparing lead lists, meeting notes, research summaries, transcripts, and operational records.
  • Conduct online research on products, market trends, industry insights, and best practices, preparing reports and summaries when needed.
  • Support purchasing activities by researching products, sourcing options, and coordinating sample requests.
  • Maintain and update customer, sales, and marketing information through CRM systems.
  • Assist with financial administration tasks, including preparing invoices, tracking payments, and recording expenses.
  • Monitor projects, organize internal information, and support communication between teams.
  • Manage calendars, coordinate meetings, prevent scheduling conflicts, and ensure participants are prepared.
  • Arrange travel logistics, including itineraries, accommodation, and transportation bookings.
  • Handle incoming calls, schedule appointments, and gather information through professional communication.
  • Manage email correspondence, organize inboxes, follow up on messages, and highlight important communications.
