Requirements
- High school diploma or equivalent required; degree in a related field preferred.
- Minimum 1–2 years of experience in a healthcare intake, patient access, insurance coordination, or administrative support role.
- Working knowledge of health insurance terminology (prior authorizations, eligibility verification, EOBs, Medicaid managed care).
- Strong organizational skills and ability to manage multiple active cases simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and/or Google Workspace.
- Ability to maintain strict HIPAA compliance and confidentiality.
- Reliable high-speed internet (15 Mbps primary, 10 Mbps backup) and redundant power capability.
- Dedicated home office space with noise-canceling USB headset and functional webcam.
- Familiarity with ABA therapy, behavioral health, or pediatric intake environment preferred.
- Experience with electronic health record (EHR) systems or CRM platforms preferred.
Responsibilities
- Receive and log all incoming referrals via phone, fax, email, and referral portals accurately and in real time.
- Conduct initial eligibility screenings to verify insurance coverage, benefit levels, and ABA service authorization requirements.
- Assist in the preparation and submission of prior authorization requests for ABA services to insurance payers.
- Coordinate with clinical staff to collect required documentation for authorization requests.
- Communicate professionally with families to explain the intake process and provide status updates.
- Maintain accurate records in the intake tracking system and conduct routine audits of assigned cases.
- Collaborate with billing, clinical, and scheduling teams to ensure seamless handoffs.
- Adhere to HIPAA regulations and confidentiality policies in all tasks.
