Requirements

  • 1 to 3 years of relevant professional experience in project coordination, administration, clinical research, healthcare, life sciences, or a related field.
  • Alternatively, a one-year advanced diploma or degree in Health Sciences, Life Sciences, Clinical Research, or another relevant discipline.
  • Foundational knowledge of clinical research processes, project coordination activities, and regulatory requirements.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and administrative tasks simultaneously.
  • Excellent verbal and written communication skills, with the ability to interact effectively with internal teams, clients, and external stakeholders.
  • Strong attention to detail and accuracy when managing documentation, reports, records, and project information.
  • Ability to work independently while collaborating effectively within cross-functional and remote teams.
  • Problem-solving mindset with the ability to identify issues, escalate concerns appropriately, and support resolution efforts.
  • Proficiency with standard business applications, document management systems, and project tracking tools.
  • Commitment to maintaining confidentiality, compliance, quality standards, and professional conduct.

Responsibilities

  • Provide administrative and operational support to project teams, ensuring the smooth execution of project activities throughout the project lifecycle.
  • Coordinate the preparation, organization, and distribution of documents, materials, resources, and presentations required for project meetings and stakeholder communications.
  • Schedule and organize project-related meetings, committees, sponsor discussions, training sessions, and other key project activities, including agenda preparation and meeting documentation.
  • Facilitate invoicing, billing, payment documentation, and related administrative processes while supporting project communications with internal and external stakeholders.
  • Assist with data entry, form preparation, report generation, tracking logs, scripts, and other project documentation requirements.
  • Support the development, maintenance, and continuous improvement of project forms, documents, workflows, and operational processes.
  • Act as the first point of contact for project-related inquiries, ensuring timely responses, issue resolution, escalation, and stakeholder support.
