Requirements

  • Proven experience with invoicing processes.

  • Strong written communication skills for text-based customer support.

  • Proactive problem-solving abilities and critical thinking skills.
  • Ability to learn and apply processes independently after training.
  • Capacity to follow standard operating procedures (SOPs) and use reference manuals and AI tools.
  • Availability to work MST hours consistently.

Responsibilities

  • Review incoming orders from the website and Gmail.
  • Log orders accurately into the clinic’s Electronic Medical Records (EMR) system.
  • Track invoices and ensure correct documentation of purchased medications or services.
  • Maintain accurate, up-to-date patient records and ensure medication purchases are recorded per policy.
  • Manage customer communication via text using OpenPhone, clinic scripts, and pre-approved templates.
  • Monitor incomplete appointment steps and proactively remind clients of pending requirements.
  • Utilize Google Workspace, Slack, and ChatGPT-based internal tools for daily operations.
