Requirements

  • 10+ years of experience as an Executive Assistant, Personal Assistant, or in a senior administrative role supporting C-suite or board-level executives.
  • Proven ability to manage complex schedules with multiple calendars and high-volume domestic and international travel.
  • Strong tech-savviness, particularly troubleshooting and navigating issues between Google Workspace and Microsoft Office/Outlook environments.
  • Proficiency with iPhone/iOS mail, calendar, and productivity applications.
  • Exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • High level of discretion, integrity, and emotional intelligence.
  • Ability to thrive in a fast-paced environment and manage competing priorities.

Responsibilities

  • Provide full executive support to the Chairman, including managing complex calendars, scheduling, and prioritizing meetings.
  • Coordinate and prepare all aspects of meeting logistics, including agendas, briefing materials, presentations, and follow-up notes.
  • Arrange and manage all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Anticipate and proactively handle last-minute changes or adjustments to travel and schedules.
  • Ensure seamless coordination of logistics for business trips, & board meetings.
  • Manage the integration of professional and personal calendars to ensure balance, minimize conflicts, and prevent scheduling overlaps.
  • Serve as a trusted gatekeeper and primary point of contact for internal and external stakeholders.
  • Coordinate with board members, senior executives, staff, and external partners to facilitate smooth communication and alignment.
