Requirements
- Proven experience supporting VP, SVP, or C-level executives in a technology company, SaaS business, or high-growth startup environment.
- Strong background in executive assistance combined with hands-on program or project management responsibilities.
- Demonstrated ability to manage multiple complex initiatives simultaneously while maintaining exceptional attention to detail.
- Experience coordinating cross-functional programs, tracking deliverables, and driving accountability across diverse stakeholder groups.
- Excellent verbal and written communication skills, with the ability to build strong relationships across remote and globally distributed teams.
- High level of professionalism, discretion, and integrity when handling confidential information and executive matters.
- Strong organizational, prioritization, and problem-solving abilities in fast-changing and ambiguous environments.
- Experience planning executive meetings, leadership off-sites, business reviews, and internal communications initiatives.
- Proficiency with Google Workspace, including Docs, Sheets, Slides, and Calendar.
- Interest in or experience using AI and automation tools such as ChatGPT, Claude, Notion AI, Zapier, or similar productivity platforms.
- Experience supporting customer-facing, go-to-market, sales, or revenue-focused organizations is highly desirable.
- Bachelor's degree preferred; project management certifications such as PMP are considered a plus.
Responsibilities
- Provide comprehensive executive support, including calendar management, meeting coordination, travel planning, expense management, and handling confidential communications.
- Act as a strategic partner to senior leadership by organizing priorities, facilitating decision-making processes, and ensuring seamless execution of key initiatives.
- Coordinate domestic and international travel arrangements, leadership meetings, off-sites, customer engagements, and organizational events.
- Attend meetings, capture action items, distribute follow-ups, and ensure accountability across stakeholders.
- Own and maintain the operational rhythm of the organization by tracking strategic programs, monitoring progress, identifying blockers, and escalating risks when necessary.
- Manage centralized project and program tracking systems to provide leadership with clear visibility into priorities, timelines, and outcomes.
- Support quarterly business reviews, planning cycles, executive briefings, leadership presentations, and organizational communications.
- Collaborate cross-functionally with teams including Sales, Marketing, Finance, Product, and People Operations to drive alignment and execution.
- Identify opportunities to streamline workflows through AI, automation, and productivity tools while implementing scalable operational improvements.
- Research, evaluate, and champion emerging technologies that enhance team productivity and operational efficiency.
