Requirements
- Minimum 5 years of experience as an Executive Assistant, Executive Operations Assistant, or similar senior support role.
- Proven experience supporting senior leaders, executives, founders, or C-level teams.
- Strong expertise in advanced calendar management, scheduling, and executive prioritization.
- Experience coordinating domestic and international travel arrangements.
- Excellent written and verbal communication skills.
- Strong ability to manage multiple stakeholders and competing priorities in fast-paced environments.
- Experience in project coordination, operational support, and workflow management.
- Proficiency with modern collaboration and workplace tools (Google Workspace, Slack, Zoom, etc.).
- Strong organizational, time management, and problem-solving capabilities.
- High level of professionalism, discretion, and ability to handle confidential information.
- Ability to work independently in a fully remote, fast-paced environment.
Responsibilities
- Manage complex executive calendars, scheduling priorities, and time optimization for senior leaders.
- Proactively anticipate conflicts, protect focus time, and ensure smooth day-to-day executive operations.
- Coordinate domestic and international travel arrangements, itineraries, and logistics end-to-end.
- Prepare executive communications, presentations, agendas, and supporting materials for meetings.
- Capture key meeting notes, action items, and ensure timely follow-up and execution tracking.
- Support leadership meetings, recurring operations, and cross-functional coordination activities.
- Assist in project coordination, tracking deliverables, and maintaining operational visibility.
- Manage communication flow between internal teams, executives, and external stakeholders.
- Maintain accurate documentation, business processes, and operational systems.
- Handle sensitive and confidential information with discretion and professionalism.
- Identify operational inefficiencies and proactively recommend or implement improvements.
