Requirements
- Associate’s degree or equivalent experience
- At least 5+ years of executive administrative support experience
- Proven experience supporting multiple executives simultaneously in a fast-paced, complex environment
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, OneNote)
- Strong experience with travel coordination
- Strong experience with vendor communication
- Strong experience with administrative financial processes such as budgeting or expense management
- Excellent organizational skills with the ability to manage multiple priorities independently and efficiently
- Strong communication and interpersonal skills
- High attention to detail and discretion in handling sensitive information
- Ability to work autonomously, anticipate needs, and support senior leadership with a proactive mindset
Responsibilities
- Provide comprehensive executive administrative support to four commercial leaders, ensuring efficient coordination of daily activities and priorities
- Manage complex calendars, schedule meetings, coordinate travel arrangements, and handle end-to-end expense reporting
- Support internal communications, including Town Halls, presentations, organizational updates, and email distribution list management
- Maintain and update organizational charts and leadership documentation to ensure accuracy and alignment
- Assist with budgeting activities, including invoice processing, cost center tracking, and vendor relationship coordination
- Organize leadership events, including logistics planning, materials preparation, and on-site or virtual coordination
- Ensure smooth operational flow across multiple executive priorities while proactively identifying administrative needs and improvements
