Requirements

  • Bachelor's degree
  • 2–3 years of project management experience
  • Proficiency with publishing technology, tools, and platforms
  • Proficiency with Microsoft Office suite (Excel, Access, PowerPoint, Outlook)
  • Accuracy in data entry
  • Proficiency with Adobe Acrobat DC
  • 4 years of project management experience (preferred)
  • 1-2 years of proven editorial or publishing experience, preferably in scholarly publishing (preferred)

Responsibilities

  • Establish and maintain professional and responsive relationships with all parties including authors, editors, reviewers, editorial boards, associated organizations, production partners, subscribers, and in-house HK staff.
  • Support the Editor of each assigned journal as the primary operational and administrative partner, managing logistics and coordination of production workflow, and guiding strategic goals.
  • Support the Editor’s strategic goals such as ensuring editorial policies align with goals, increasing submissions, monitoring key performance metrics, supporting social media, exploring new technologies, and increasing author/reviewer engagement.
  • Support Editorial Boards and their initiatives, including preparing key performance information, annual reports, coordinating content promotion, and maintaining regular communication.
  • Liaise with journals’ partnering societies and organizations to grow professional relationships and raise journal visibility.
  • Work closely with the production team to efficiently manage the workflow of articles and journal issues for timely and accurate publication.
  • Ensure journal content meets editorial standards by monitoring through the production process, updating tracking spreadsheets, confirming table of contents, proofreading, and providing documentation.
  • Work with social media managers and/or in-house marketing team to identify and liaise on marketing opportunities.
  • Continuously review online presentation of articles and issues, identifying improvements or new content creation areas and discussing with the Journals Digital Publishing Manager.
  • Perform prepress duties: updating journal covers, compiling special issue information, preparing and implementing updates to front/back matter, masthead pages, and ads.
  • Create and maintain Need-to-Know documentation for each assigned journal.
  • Assist colleagues with reviewing and finalizing additional article proofs.
  • Contribute to HK’s profitability by working productively and ensuring project budgets and schedules are met, and suggesting improvements to editorial processes or systems.
