Requirements

  • At least 2 years in a coordinator, project coordinator, or account coordinator role
  • Experience managing many concurrent workstreams under real time pressure
  • Exceptional written communication skills for proposals, emails, and documentation
  • Excellent verbal communication skills
  • Experience supporting a sales or BD team
  • Understanding of the pace and stakes of a commercial environment
  • Proficiency with CRM (HubSpot, Salesforce, Pipedrive)
  • Professional services background (agency, consulting, or development firm)
  • Experience with proposals or contracts (SOWs, RFP responses, MSA negotiation logistics)
  • Pursuit coordination at volume (10+ concurrent opportunities)
  • CRM ownership (maintaining HubSpot pipeline data)
  • Proposal production (end-to-end management)
  • Cross-functional coordination (scheduling internal prep, ensuring delivery team alignment)
  • Contract logistics (tracking redlines, managing signature workflows)
  • Process documentation (maintaining and improving templates, checklists, workflow)

Responsibilities

  • Own the pursuit lifecycle for 10+ concurrent new-logo sales opportunities.
  • Act as the central point of contact for all logistics from qualification through signed contract.
  • Track every active deal in HubSpot with current stage, next steps, and owner.
  • Produce polished proposals by gathering inputs, assembling drafts, and routing for review and approval.
  • Ensure the right delivery team members are included in meetings and internal prep sessions.
  • Coordinate MSA and SOW execution, tracking redlines and managing signature workflows.
  • Proactively surface scheduling conflicts, resource gaps, or alignment issues.
  • Assist the VP of Sales with pipeline reporting, meeting preparation, and administrative coordination.
