Requirements
- Prior experience managing outbound or automated email campaigns
- Hands-on experience with Apollo or similar outbound email tools
- Familiarity with HubSpot for contact management and activity tracking
- Strong attention to detail and process discipline
- Clear, professional written English communication skills
- Comfort working with lists, tags, sequences, and basic analytics
- Understanding of email compliance and unsubscribe best practices
- Experience using AI tools for drafting or optimization
- Reliable internet connection
- Consistent availability during U.S. Central Time (CT) business hours
Responsibilities
- Build, schedule, and manage automated outbound email sequences
- Load, segment, and maintain prospect lists
- Manage campaigns in Apollo or similar outbound email platforms
- Ensure accurate targeting, personalization, and sequencing before launch
- Monitor deliverability, bounce rates, replies, and opt-outs
- Pause, adjust, or stop campaigns based on performance or direction
- Route positive replies and important responses to appropriate team members
- Maintain suppression lists and ensure unsubscribe requests are handled properly
- Sync and log outbound activity in HubSpot
- Update contact records, companies, and lifecycle stages in HubSpot
- Follow SOPs and suggest improvements when appropriate
- Ensure data accuracy across Apollo, HubSpot, and internal trackers
- Track basic campaign metrics and maintain performance reporting
- Suggest selective manual outreach for deliverability or low-response scenarios
- Use AI tools (ChatGPT, etc.) to assist with drafting and personalization
- Clearly document campaigns, changes, and outcomes
