Requirements
- Experience in rostering, workforce planning, or scheduling within the disability or healthcare sector
- Strong problem-solving skills
- Ability to manage last-minute roster changes efficiently
- Excellent communication and interpersonal skills
- High level of attention to detail for accurate timesheet and payroll processing
- Ability to work in a fast-paced environment and handle multiple priorities
- Knowledge of the NDIS and disability service sector is highly desirable
- High degree of computer literacy
- Proficiency in email, MS Office and other software products
- Competent use of mobile devices
- Understanding of shift allocations and award-based rostering
- SCHADS Award experience preferred
- Proficiency in rostering systems (Shiftcare experience highly regarded)
- Proficiency in Microsoft account and spreadsheets
Responsibilities
- Maintain core rosters with regular set shifts for support workers
- Manage and fill shifts when support workers lodge leave requests or are unavailable
- Review and confirm timesheets before payroll processing every fortnight
- Keep support worker preferences up to date in the CRM system
- Ensure support workers regularly update their availability in the CRM system
- Confirm new support workers can access the ShiftCare app and view their assigned shifts
- Collaborate with intake team/Service Coordinators to build core rosters for new participants
- Email shift changes and update ShiftCare and Master Roster accordingly
- Coordinating service booking with customers and support staff
- Act as a central point of contact for support staff
- Develop and manage rosters
- Maintain files and record management system in line with quality standards
- Generating monthly rosters using rostering software
- Responding to roster inquiries from relevant staff
- Answering inbound inquiries from customers and assist with inquiries
- Updating rosters based on business needs
- Assisting with general administrative duties to support staff
- Processing billing runs through the NDIS system
- Assisting with the management of timesheets for relevant staff
- Liaising with NDIA staff
- Assisting with accounts payable / accounts receivable for customer activities
- Assessing and managing risk in line with quality standards
- Escalating issues to relevant Team Leaders and Managers
- Assisting in project work to improve team processes
