  • Past experience being an executive, project or sales assistant
  • Experience in Google Suite
  • Experience in Google Docs
  • Experience in Google Sheets
  • Experience in Adobe Creative Cloud applications (bonus)
  • Experience in project management softwares such as Asana, ClickUp, or Harvest (bonus)
  • Proven ability to juggle assignments while maintaining a high standard of work, organization, and meticulous attention to detail
  • Polished and professional communication skills

Responsibilities

  • Manage calendars, including scheduling meetings, appointments, and travel itineraries
  • Ensure alignment with priorities and adjust schedules as commitments evolve
  • Oversee deadlines and ensure timely follow-through
  • Manage email inboxes, including organizing, drafting responses, and prioritizing correspondence
  • Screen calls and inquiries, handling them when appropriate
  • Prepare and review correspondence, ensuring professionalism and accuracy
  • Keep the Leadership Team apprised of daily priorities, project progress, and potential delays
  • Provide summarized reports and updates on operational activities
  • Communicate within project management tools to track and manage priorities and timelines
  • Prepare members of the Leadership Team for meetings by providing relevant materials and background information
  • Take detailed notes during meetings, summarizing recaps, tracking action items, and ensuring completion
  • Facilitate internal meetings by scheduling, creating agendas, and ensuring follow-ups
  • Maintain the highest level of confidentiality for sensitive matters
  • Anticipate and resolve potential issues proactively
  • Oversee and manage internal projects and timelines in collaboration with the project manager and team members
  • Act as a liaison between business development, creative, and operations teams to ensure project success
  • Assist with the creation of proposals, presentations, and internal documents
  • Support the various projects under the Leadership Teams’ purview, including managing deadlines and deliverables
  • Assist with company initiatives like event planning and speaker decks
  • Coordinate team travel logistics and manage expense reports
  • Ensure travel itineraries align with priorities and operational needs
  • Send gifts and proactively look for ways to foster the expression of our core value of Gratitude
  • Manage partner relationships and professional networks (e.g., LinkedIn, Giving Institute, etc.)
  • Identify and implement improvements across tools, processes, communications, and deliverables
  • Identify opportunities to take tasks off the Leadership Team’s plates and owning them independently
  • Help streamline operational tasks to enable the Leadership Team to focus on strategic priorities
  • Stay ahead of needs to ensure seamless day-to-day operations
