Requirements
- Minimum of 3 years experience as an Executive Assistant or Legal Assistant, preferably within a legal or professional services setting.
- Demonstrated familiarity with legal administrative processes and terminology.
- Strong written and verbal communication skills.
- Experience using legal practice management software (e.g., Clio, LEAP, Actionstep).
- Proficiency with productivity tools such as Microsoft Office or Google Workspace.
- Strong time management, prioritization, and problem-solving abilities.
- Proven ability to handle confidential information with discretion.
- Self-motivated with the ability to work independently in a remote environment.
Responsibilities
- Provide high-level administrative support to lawyers and legal teams, including managing calendars, meetings, and travel arrangements.
- Draft, review, and format legal correspondence and administrative documents with accuracy and professionalism.
- Manage email inboxes, flagging high-priority items and ensuring timely responses.
- Organize and maintain confidential legal files and case documents, ensuring data security and compliance with legal privacy standards.
- Coordinate billing, timekeeping, and expense reporting activities.
- Serve as the liaison between clients, external parties, and internal legal teams.
- Support virtual meeting logistics including agenda creation, minute taking, and task follow-ups.
- Assist with onboarding and workflow setup for new legal team members.
