Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative/support role
  • Highly tech-savvy with hands-on experience using AI tools (e.g., ChatGPT, Notion AI, Jasper, GrammarlyGO)
  • Familiarity with automation platforms like Zapier or Airtable
  • Proficient with productivity and communication tools such as Google Workspace, Microsoft Office, Slack, and Zoom
  • Strong written and verbal communication skills in English
  • Able to work independently, manage multiple priorities, and maintain confidentiality
  • Detail-oriented, organized, and quick to learn new technologies
  • Has coaching and consultative experience in a similar role
  • Preferred leadership experience

Responsibilities

  • Implement and manage AI tools (e.g., ChatGPT, Zapier, Notion AI)
  • Support AI-driven systems for member retention, curriculum tracking, staff scheduling, sales management, performance dashboards, and cultural feedback
  • Manage calendars, schedules, and email
  • Organize digital files
  • Prepare presentations, reports, and documents using AI-enhanced tools
  • Draft and respond to internal/external communications
  • Create meeting recaps and AI-generated follow-up summaries
  • Manage team notifications and updates
  • Track tasks and progress using project management tools
  • Conduct online research and summarize insights using AI
  • Support project planning and collaboration
  • Provide prompt responses to client inquiries
  • Use chatbots and AI to improve service quality and speed
  • Handle sales-related communication and appointment setting
