Requirements
- Have 2+ years of hands-on experience in operations, order management, or administrative support.
- Bring experience with CPG, ecommerce, or food and beverage; this background is highly preferred.
- Be proficient with ERP or inventory systems such as DOSS, NetSuite, Cin7, Fishbowl, or similar.
- Have proficiency with QuickBooks Online.
- Have direct experience maintaining Amazon Seller Central and Walmart Marketplace accounts and filing claims.
- Have excellent written and verbal English communication skills for payment collections and customer support.
- Be available to work 7:00 AM–3:45 PM Pacific Time, full-time.
- Be available to start within 2 weeks of the job offer.
- Be comfortable using time trackers such as Time Doctor.
- Have a laptop or desktop, noise-cancelling headphones, and a webcam.
- Have reliable high-speed internet of at least 50 Mbps and backup equipment or power supply for outages.
- Be proficient with Microsoft Office tools including SharePoint and Outlook, Google Workspace, and Slack.
Responsibilities
- Manage daily order queues in DOSS and resolve order synchronization exceptions.
- Monitor stock levels and coordinate with warehouse and logistics partners to prevent stockouts.
- Invoice fulfilled orders accurately and on time, maintain aging reports, follow up on payments, and reconcile accounts in QuickBooks.
- Respond to routine order and shipment inquiries and maintain financial and inventory records.
- Document operational SOPs and identify workflow bottlenecks for future automation.
- Reconcile inbound Amazon and Walmart marketplace shipments and file claims.
- Complete new wholesale account paperwork and track product lot and expiry dates.
- Assist with month-end transaction coding.
