Requirements
- Have previous experience in a U.S. personal injury law firm, including hands-on retrieval of medical records and medical bills.
- Be able to perform Records Clerk and Case Manager Assistant responsibilities, including treatment tracking, records collection, and pre-litigation demand preparation.
- Have strong written and spoken English and communicate professionally with clients, medical providers, and insurance representatives.
- Demonstrate organization, attention to detail, and consistent independent follow-through on multiple cases, requests, and deadlines.
- Be proficient in Microsoft Word, Excel, and Outlook, and have experience with Litify or a comparable legal case management platform.
- Be available full-time from 8:30 a.m. to 5:00 p.m.; the posting lists PST and Eastern Time for the schedule.
- Have reliable internet, suitable computer equipment, and a dedicated remote workspace.
- Protect client confidentiality, take accountability for assigned work, and meet productivity standards.
- Direct Litify experience, including organizing documents, updating case information, and tracking outstanding requests, is preferred.
- Experience requesting HIPAA authorizations, maintaining medical treatment updates, coordinating with multiple medical providers, and managing high-volume personal injury case files is preferred.
Responsibilities
- Request and obtain medical records, medical bills, police reports, photographs, insurance documentation, and other supporting records.
- Follow up with hospitals, medical providers, imaging centers, employers, and government agencies on outstanding requests.
- Upload and accurately label case documents in Litify to maintain organized files.
- Provide assigned Case Managers with timely case-progression updates and administrative support.
- Keep client, treatment, provider, and insurance information accurate and current.
- Identify documentation gaps and follow through until records and bills needed for demand preparation are complete.
- Communicate professionally with clients about treatment, appointments, authorizations, and missing documentation.
- Process incoming correspondence, faxes, and electronic documents and route them to the appropriate files and team members.
- Maintain tracking logs and reports for pending requests, follow-up activity, and approaching deadlines.
