Requirements
- Previous experience as an Executive Assistant, Administrative Assistant, Operations Assistant, or Virtual Assistant.
- Experience in administrative coordination, calendar management, and scheduling.
- Ability to manage multiple responsibilities, work independently, and follow through on tasks.
- Strong organizational, multitasking, and time-management skills.
- Must speak and write English clearly and professionally.
- Strong problem-solving, critical-thinking, and decision-making abilities.
- Ability to coordinate with team members and monitor task completion.
- Detail-oriented and accurate in documentation, scheduling, and reporting.
- Comfort learning new systems and platforms; experience with CRM platforms, including Salesforce, is an advantage.
- Familiarity with Slack, WhatsApp, Skype, VoIP systems, Google Workspace, Microsoft Office, or calendar and scheduling platforms is an advantage.
- Must be available to work Eastern Time hours, starting at 8:00 AM, with flexibility for earlier starts when required.
- Must provide an NBI Clearance and/or Local Police Clearance before onboarding.
- Must have a reliable computer, stable high-speed internet of at least 25 Mbps, a noise-canceling headset, a working webcam, and a quiet professional workspace.
Responsibilities
- Coordinate daily administrative and operational activities.
- Monitor workflows, team assignments, deadlines, and pending tasks, and follow up to ensure action items are completed.
- Manage the practice owner's calendar, appointments, meetings, reminders, and communications.
- Take meeting notes, document objectives and action plans, and track execution.
- Coordinate appointment scheduling, monitor scheduling gaps, and send reminders and follow-up communications.
- Track KPIs, team progress, and operational performance data.
- Maintain CRM records, databases, spreadsheets, and operational reports.
- Organize digital files and prepare administrative documents, reports, spreadsheets, and presentations.
- Identify operational bottlenecks and recommend or help implement workflow improvements.
