Requirements

  • Have 5+ years’ experience as a high-level EA / Executive Assistant.
  • Have strong experience with Xero and financial administration.
  • Have experience supporting senior executives or founders.
  • Demonstrate strong proficiency in Microsoft Office and productivity tools.
  • Have demonstrated hands-on experience using AI and automation to improve business workflows and productivity.
  • Be able to independently research, assess, and implement practical technology solutions to operational problems.
  • Bring experience with automation platforms, integrations, AI agents, workflow tools, or systems optimisation; this is highly desirable.
  • Be comfortable using AI tools such as ChatGPT, Claude, Gemini, or similar platforms.
  • Have excellent written English and professional communication skills.
  • Be able to manage multi-timezone calendars across AU/US/EU.
  • Demonstrate high attention to detail and structured thinking.
  • Be highly discreet, reliable, and proactive.
  • Be Philippines-based.
  • Engage as an independent contractor, disclose any existing ongoing roles or client work, and reflect the engagement on LinkedIn as “Independent Contractor”.
  • Manage own time within the 7am–7pm coverage window to support overlapping time zones.

Responsibilities

  • Manage a complex diary across Australia, USA, and Europe time zones.
  • Coordinate meetings, run sheets, and daily scheduling adjustments.
  • Monitor the inbox and draft professional communications.
  • Manage Xero bookkeeping for personal and business accounts, and track expenses, invoices, and financial documentation.
  • Support reconciliation and financial organisation.
  • Coordinate international travel, accommodation, and itineraries, including changes and last-minute adjustments.
  • Liaise with investors, partners, clients, and internal teams.
  • Support personal scheduling and family-related coordination, and maintain visibility of recurring tasks and commitments.
  • Use AI and automation tools to improve workflows, productivity, and information management; build or maintain practical AI-powered workflows and productivity systems.
  • Troubleshoot operational and systems-related problems, recommend automation opportunities, and proactively improve how the principal works.
