Requirements
- Have a minimum of 2 years of experience in project coordination, administrative support, or a related role.
- Demonstrate the ability to manage multiple projects simultaneously.
- Be familiar with project management methodologies such as Agile, Waterfall, or Scrum.
- Have experience with project management software such as Asana, Trello, Jira, Monday.com, or Microsoft Project.
- Be proficient in scheduling and tracking project timelines.
- Be skilled in data entry and reporting using Excel, Google Sheets, or other reporting tools.
- Have experience coordinating meetings, taking minutes, and following up on action items.
- Have English proficiency at B2 level or above and strong English phone communication skills.
- Be comfortable working in the PDT timezone and an 8-hour daily schedule within the 7 AM–7 PM PDT window.
- Have proven remote work experience and a dedicated home office setup with a desktop, quality headset, and stable internet connection.
- Be available for rotational Saturdays each month.
Responsibilities
- Answer incoming phone calls and make outbound calls to clients, technicians, internal teams, and departments.
- Coordinate and schedule field events and jobs with technicians, clients, and homeowners.
- Confirm technician availability and arrange appointments.
- Respond to client inquiries about fieldwork, lab results, pricing, billing, and administrative matters.
- Maintain client relationships and provide customer service.
- Enter and manage data in relevant systems, and perform administrative tasks.
- Prepare and obtain work authorizations and necessary documentation.
- Assist in acquiring billing information for clients and insurance companies.
- Manage daily communications across phone, email, Slack, and other tools.
