Requirements
- Have at least 3 years of experience in supply chain, purchasing, or purchase order administration.
- Have Shopify experience.
- Understand supply chain operations from purchasing through inventory, costing, and reporting.
- Have hands-on experience issuing purchase orders and entering supplier costs.
- Have experience tracking payments, following up on documentation, and maintaining accurate purchasing records.
- Have strong Microsoft Excel and Google Sheets skills, including working with exports, lookups, and reconciliations.
- Have advanced written and verbal English communication skills at C1 level or above.
- Airtable fluency is a plus, including comfort working in a relational base.
- Amazon Seller Central experience is a plus.
- Experience with imported goods or overseas manufacturing supply chains is a plus.
- A bookkeeping or accounts payable background is a plus.
- Day-to-day use of AI tools in current work is a plus.
Responsibilities
- Create and maintain SKU records in Airtable, generate UPC barcodes and FNSKUs, and manage SKU rollovers.
- Coordinate SKU-related label updates and maintain packaging files across Google Drive, Shopify, and Airtable.
- Verify barcode and SKU details before supplier release.
- Issue purchase orders to suppliers and calculate associated component requirements.
- Review proforma invoice costs and record them against purchase order lines in Airtable.
- Maintain payment records, supplier confirmations, inspection reports, vendor credit documentation, and purchasing files.
- Support monthly accounts payable reconciliation by tracking paid and unpaid items and checking documentation.
- Validate inventory weekly across supply chain locations and escalate discrepancies.
- Reconcile purchase orders, maintain cost data, and verify landed cost by SKU and model.
- Assemble data for forecast outlier reviews and monthly FIFO and COGS reporting; update KPI trackers and monitor stock status and product lead times.
