Requirements
- Have 2+ years supporting a U.S. medical practice in appointment scheduling, patient recall/reactivation, and outbound confirmation calls.
- Have hands-on EMR/EHR experience and adhere strictly to HIPAA guidelines.
- Have a dedicated, quiet home office, noise-canceling headset, and high-speed internet.
- Be comfortable using web-based VOIP phone systems.
- Manage large recall lists independently with strong follow-through.
- Communicate with exceptionally clear, well-paced, easy-to-understand speech over the phone.
- Use a professional, empathetic, patient, and confident phone manner.
- Preferred: direct, recent experience using Epic.
- Preferred: cardiology experience or experience managing care for older patient demographics.
- Preferred: fluency in both English and Spanish.
- Preferred: high-volume outbound calling experience and a front-office or receptionist background.
Responsibilities
- Review upcoming clinical schedules in Epic and verify appointment statuses.
- Make outbound confirmation calls and identify reschedules and cancellations.
- Document patient communications in Epic and escalate urgent patient or clinical concerns to the care team.
- Identify and track patients overdue for cardiology follow-ups, canceled without rescheduling, or missed recent visits.
- Conduct multi-attempt outreach to reactivate patients and schedule visits.
- Maintain follow-up lists in Epic until visits are secured or files are formally closed.
- Answer inbound scheduling calls, handle reschedules, provide basic visit logistics, and take messages as needed.
- Route clinical questions to cardiology staff and follow up on pending patient inquiries.
