Requirements
- At least 5 years of experience in administrative coordination, executive support, event or meeting coordination, logistics, or a related area.
- Experience supporting senior leaders with complex calendar, travel, and expense management.
- Experience coordinating meetings, workshops, retreats, or other events with multiple participants and logistical requirements.
- Experience working across teams and coordinating with internal service functions and external vendors.
- Experience supporting procurement, contracting, or other administrative workflows is desirable.
- Bachelor’s degree preferred, or equivalent combination of education and relevant professional experience.
- Strong organizational, time-management, coordination, and project-management skills, with attention to detail and follow-through.
- Ability to manage multiple workstreams, deadlines, dependencies, competing priorities, shifting schedules, and last-minute changes.
- Sound judgment and discretion when handling confidential or sensitive information.
- Proficiency with Microsoft Office, Google Workspace, calendar and virtual meeting platforms, and travel and expense systems.
- Familiarity with expense, procurement, and contracting processes.
- Ability to work remotely during US East Coast business hours, with occasional flexibility across time zones, and willingness to travel occasionally.
Responsibilities
- Manage day-to-day calendar and scheduling needs for the CPO and Office of the CPO, coordinating meetings, resolving conflicts, and protecting focus time.
- Coordinate recurring and ad hoc meetings across teams, geographies, and time zones.
- Arrange travel, accommodations, itineraries, and expense reports for the CPO, CPO Office members, and staff participating in convenings.
- Coordinate end-to-end logistics for leadership meetings, workshops, retreats, learning events, and other gatherings.
- Work with program teams and Shared Services to plan and deliver in-person gatherings.
- Coordinate meeting materials, participant communications, room and virtual meeting setup, and on-site support when needed.
- Track and follow up on logistical actions, deadlines, contracts, procurement requests, and approvals.
- Maintain organized records, templates, checklists, vendor information, and administrative documentation.
- Identify opportunities to streamline recurring administrative and logistical processes.
