Requirements
- Have at least 1 year of experience in an executive assistant, administrative assistant, or similar administrative support role.
- Bring previous experience supporting an executive, senior leader, or business owner; this is strongly preferred.
- Demonstrate strong calendar management and scheduling skills across professional, family, and personal commitments.
- Have excellent written and verbal English communication skills and Spanish language skills.
- Manage email and triage requests with a professional, polished communication style.
- Manage multiple tasks and deadlines with exceptional organization and attention to detail.
- Anticipate needs, identify next steps, and take action without constant direction.
- Use sound judgment and discretion with confidential personal or business information.
- Be comfortable supporting both professional and personal administrative needs.
- Be comfortable managing approximately 10 calls per day and communicating through voice and digital collaboration platforms.
- Work full-time on a dedicated basis from 9:00 AM–6:00 PM EST/EDT.
- Be familiar with Google Workspace, including Gmail, Calendar, Chat, and Meet, and Microsoft Office Suite.
- Experience with Lawmatics and RingCentral is beneficial.
Responsibilities
- Provide day-to-day professional and personal administrative support to a senior leader.
- Coordinate professional, family, and personal appointments, commitments, and schedule changes.
- Prioritize communications, manage information, and ensure timely follow-through.
- Coordinate household tasks, including dry cleaning, grocery pickups, errands, and personal services.
- Arrange business and family travel, including flights, accommodations, car rentals, schedules, and logistics.
- Respond to race series communications and coordinate related orders, requests, and logistics.
- Track marketing activities, orders, shipments, and follow-ups.
- Maintain referral partner lists and coordinate mailings, launches, and promotional-material shipments.
- Maintain records and communications using Google Workspace, Microsoft Office, RingCentral, and Lawmatics.
