Requirements

  • Have 3 to 5 or more years of bookkeeping experience managing books for multiple related companies simultaneously.
  • Have advanced proficiency in QuickBooks Online, the primary tool for this role.
  • Have strong Excel or Google Sheets skills for financial schedules, reports, and reconciliations.
  • Be comfortable learning new software tools, including internal portfolio dashboards.
  • Manage deadlines and competing priorities across many entities with attention to detail.
  • Handle confidential financial and family information discreetly and trustworthily.
  • Real estate bookkeeping experience, including rent, loans, and property expenses, is strongly preferred.
  • Experience with intercompany accounting and consolidated reporting is a plus.
  • Experience bookkeeping for a family office, holding company, or investment portfolio is a plus.
  • Include an updated resume and a 1 to 2 minute Loom video describing multi-entity bookkeeping experience and the approach to month-end close.

Responsibilities

  • Manage invoices, accounts payable, and accounts receivable across approximately 10 related entities.
  • Record transactions in QuickBooks Online and the internal portfolio dashboard, including intercompany transactions.
  • Verify payables and prepare payments for the managing partner's final approval.
  • Reconcile bank, credit card, and loan accounts and complete each entity's month-end close.
  • Bring the 2025 books current across all entities as a near-term priority.
  • Maintain loan schedules and intercompany balances across the portfolio.
  • Track investment activity and each owner's capital in and out of the companies.
  • Prepare weekly, monthly, and quarterly financial reports, including combined reporting and quarterly lender financial statements.
  • Reconcile the internal dashboard to the books each quarter and resolve discrepancies.
  • Prepare year-end packages and 1099s to support outside accountants during tax preparation.
