Requirements

  • Be based in Mexico and have a reliable home office and video presence.
  • Have C1+ written and spoken English; the role includes drafting founder-level emails.
  • Be a native Spanish speaker or bilingual in Spanish.
  • Have 4+ years supporting a founder, partner, or GM, or 4+ years coordinating multi-stakeholder projects.
  • Demonstrate strong ownership and the ability to finish tasks without repeated prompting.
  • Use Google Workspace, MS Planner, Notion or a similar tool, Slack, Zoom, and Excel/Sheets.
  • Be available for core-hour overlap from 8:00 a.m. to 5:00 p.m. Pacific and same-day responses during overlap.
  • Be comfortable participating in client and vendor calls.
  • Construction, real estate, or other deadline-heavy-field experience is preferred, not required.
  • CAPM, PMP, or Scrum exposure is a nice-to-have.
  • US client or US-founder experience is a nice-to-have.
  • Familiarity with California permitting, modular/prefab, or design-build is a nice-to-have.

Responsibilities

  • Manage the founder’s calendar, inbox triage, travel, and meeting preparation across Pacific time.
  • Draft emails, decks, one-pagers, and follow-up notes in English, and in Spanish when the counterpart is Spanish-speaking.
  • Protect the founder’s time by declining, rescheduling, batching, and escalating requests.
  • Track open loops and follow through to completion.
  • Connect workstreams into one plan, maintain the master schedule, surface conflicts, and drive decisions when needed.
  • Build and maintain trackers, SOPs, meeting cadences, and decision logs.
  • Coordinate internal architects, engineers, lenders, subcontractors, and agencies to dates.
  • Flag schedule slippage early and recommend next steps.
  • Prepare a weekly scorecard covering progress, blockers, and decisions needed.
  • Support document control, vendor selection and onboarding, invoice routing, recruiting coordination, and CRM or pipeline hygiene.
