Requirements
- Have 3+ years of experience as an Executive Assistant, Operations Coordinator, or in a similar role supporting senior leadership or a solo consultant/founder.
- Have excellent written and verbal communication skills.
- Be tech-savvy and comfortable working across digital tools, including AI note-taking and transcription tools.
- Have direct experience with Plaud or a strong aptitude for learning it; the role requires syncing, organizing, and summarizing session recordings.
- Be familiar with Ninety.io or similar EOS software, or willing to learn it.
- Have strong organizational and prioritization abilities, including the ability to build systems from scratch.
- Be able to manage sensitive personal and financial information with discretion.
- Be proactive, self-directed, and comfortable clarifying how information should be captured.
- Have reliable high-speed internet and a modern home office setup.
- Experience managing both business and personal responsibilities for a founder or executive is a plus.
- Basic bookkeeping, invoicing, or QuickBooks knowledge is preferred.
Responsibilities
- Manage end-to-end workflows for client sessions, including preparation, venue confirmation, invoicing, materials, payment tracking, and record updates.
- Sync and organize Plaud recordings and consolidate transcripts, board photos, and handwritten notes into session summaries.
- Triage inboxes daily, draft routine and follow-up emails from templates, and file recurring items.
- Build and maintain a capture system for to-dos, issues, and content ideas across existing tools and notes.
- Turn captured thoughts and session observations into draft articles or other content.
- Maintain client journey records and session trackers, and update EOS software with ratings, rocks, issues, and outcomes.
- Manage recurring session invoicing in QuickBooks and support bookkeeping categorization, bank reconciliation, and personal expense categorization.
- Book flights and hotels and coordinate travel logistics, including research and planning for the annual summer trip.
- Handle personal administrative tasks, including bill payments, activity enrollment, vehicle appointments, and a personal-project inbox.
- Provide weekly status updates and help refine SOPs as processes are adopted.
