Requirements
- At least 3 years of experience in executive assistance, executive operations, project coordination, operations support, or a similar role.
- Experience working directly with a CEO, founder, entrepreneur, or senior business leader.
- Strong project ownership, including the ability to track multiple priorities and follow through without repeated reminders.
- Excellent written and verbal English communication skills.
- Proven ability to research unfamiliar topics, evaluate options, and present information clearly.
- Sound judgment, discretion, and professionalism when handling sensitive business and personnel matters.
- Confidence using Google Workspace, Slack, spreadsheets, project management platforms, and modern AI or productivity tools.
Responsibilities
- Turn the CEO’s priorities into clear action plans, owners, deadlines, and follow-up steps across multiple businesses.
- Keep important projects moving by identifying blockers, coordinating stakeholders, and ensuring commitments are completed.
- Build and maintain reliable systems for tracking projects, decisions, deadlines, open questions, and executive follow-ups.
- Move hiring priorities forward by coordinating job postings, sourcing, screening, interviews, candidate communication, and onboarding activities.
- Translate ideas and verbal requests into organized briefs, documents, workflows, and assignments that teams can execute.
- Create alignment between the CEO and teams across operations, finance, marketing, sales, recruiting, e-commerce, and other functions.
- Anticipate operational needs, surface risks early, and resolve routine issues before they require the CEO’s involvement.
- Prepare the CEO for meetings and decisions by organizing relevant context, documents, updates, and outstanding questions.
- Coordinate executive logistics, including scheduling, travel, reservations, communications, and time-sensitive requests when needed.
