Requirements

  • 2–4 years of experience in events coordination, field marketing, or similar operational role.
  • Strong organizational and project management skills with extreme attention to detail.
  • Ability to travel frequently to conferences and industry events across North America (expectation is 1-2 events per month).
  • Confident, friendly communicator capable of representing a brand in person.
  • Ability to juggle multiple events simultaneously and work effectively with internal stakeholders.

Responsibilities

  • Own end-to-end logistics for all events, including booth materials, shipping, travel, accommodations, schedules, promotions, and on-site coordination.
  • Manage event calendars, deadlines, deliverables, and vendor relationships.
  • Coordinate booth design, branded assets, swag, signage, AV needs, and setup/teardown.
  • Organize customer dinners, partner meet-ups, and VIP hosted events.
  • Attend major industry events, greet attendees, and represent the gaiia brand.
  • Assist Sales and Growth teams with demos, appointments, and booth traffic.
  • Capture event photos, videos, and key highlights for social channels.
  • Collaborate with internal teams on messaging, pre-event outreach, and post-event follow-ups.
  • Develop repeatable processes for event execution and track event performance and ROI.
