Requirements

  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities effectively.
  • Excellent written and verbal communication skills, with the ability to collaborate with different stakeholders.
  • Detail-oriented mindset with the ability to follow structured processes and maintain accurate documentation.
  • Comfortable working in a fast-paced, evolving environment with changing priorities.
  • Basic understanding of project management principles and delivery methodologies.
  • Proficiency with Microsoft Excel and/or Google Sheets for tracking and reporting activities.
  • Experience with digital agencies, IT projects, or marketing operations is a plus.
  • Familiarity with project management tools such as Asana, Trello, Jira, or Monday.com is desirable.
  • Diploma or degree in Business, IT, Communications, Project Management, or a related field is preferred.
  • Strong interest in developing a long-term career in project management or PMO operations.

Responsibilities

  • Support project managers with planning activities, scheduling, resource coordination, and day-to-day project administration.
  • Assist in preparing project documentation, timelines, project plans, and supporting materials to ensure effective project execution.
  • Gather project requirements from internal teams and clients while maintaining organized project files and documentation.
  • Track project progress, update project management tools, and monitor deadlines, deliverables, and task completion.
  • Follow up with stakeholders to ensure activities remain on schedule and support smooth communication between teams.
  • Maintain project trackers, risk logs, and issue records while escalating potential challenges when required.
  • Coordinate project meetings, prepare agendas, capture meeting notes, and ensure action items are documented and followed up.
  • Assist in preparing weekly and monthly project status reports, dashboards, and progress summaries.
  • Support project managers in identifying delivery gaps, resource challenges, and opportunities for process improvements.
  • Help standardize project management templates, documentation practices, and workflows across teams.
