Requirements

  • Bachelor’s degree in Accounting, Business Administration, Public Administration, Research Administration, or a related field.
  • 6–8 years of experience in grants administration, financial management, or accounting/bookkeeping.
  • Strong understanding of federal, state, or local grant compliance requirements and financial regulations.
  • Experience with accounting systems such as QuickBooks and ERP platforms (e.g., Oracle).
  • Solid knowledge of budgeting, payroll tracking, accounts payable/receivable, and financial reporting processes.
  • Ability to interpret complex regulatory and grant-related documentation and translate it into operational workflows.
  • Proficiency in Excel and financial reporting tools such as Smartsheet.
  • Strong analytical, organizational, and problem-solving skills.
  • Experience supporting audits, contract management, and compliance documentation is highly preferred.

Responsibilities

  • Manage accounting activities across grant-funded projects, including accounts payable, accounts receivable, and general ledger entries.
  • Prepare and review payroll and labor distribution data for time-and-effort tracking compliance.
  • Analyze monthly grant expenditures to ensure alignment with approved budgets and sponsor rules.
  • Monitor grant budgets and spending trends, identifying variances and supporting budget revisions.
  • Prepare financial reports, reimbursement requests, invoices, and cash drawdowns for funding agencies.
  • Support grant setup in accounting systems, including coding structures and cost centers.
  • Maintain audit-ready records and coordinate documentation for compliance reviews and grant closeout.
  • Assist with proposal support, contract tracking, and coordination across finance, HR, and research teams.
