Requirements

  • 5-10 years of progressive experience as an executive assistant, executive secretary, or chief of staff.
  • At least 3 years of experience supporting a C-suite or equivalent senior executive.
  • Advanced proficiency in Microsoft Outlook (inbox rules, shared mailboxes) and Office suite (Word, PowerPoint, Excel).
  • Strong working knowledge of collaboration tools like Microsoft Teams, SharePoint, and OneDrive.
  • Demonstrated ability to manage complex multi-time-zone calendars and international travel coordination.
  • Exceptional written and verbal communication skills with the ability to match an executive's voice.
  • Proven organizational discipline in tracking commitments across multiple concurrent threads.
  • Experience in manufacturing, technology, or operations-heavy business environments preferred.
  • Capacity to operate with substantial autonomy in a remote setting.
  • Ability to travel domestically and internationally up to 20% of the time.

Responsibilities

  • Triage the COO's inbox daily, drafting first-pass responses and maintaining a clear view of outstanding correspondence.
  • Manage the COO's calendar end-to-end, including scheduling, time-blocking, and international conflict resolution.
  • Track commitments, follow-ups, and pending action items to ensure nothing of consequence is dropped.
  • Coordinate complex end-to-end travel logistics, including flights, accommodations, and on-site support during trips.
  • Prepare meeting materials, including context, background research, and agenda items, and capture actionable notes.
  • Support the COO with report preparation, presentations, and organizational documentation like org charts and contact lists.
  • Handle sensitive and confidential information with absolute discretion and professional composure.
