Requirements

  • Demonstrated ability to manage multiple priorities and competing deadlines.
  • Experience preparing professional correspondence, reports, presentations, and briefing materials.
  • Proficiency with Microsoft 365 including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
  • Experience maintaining CRM, project management, or business management systems.
  • Excellent written and verbal communication skills.
  • Ability to professionally engage with senior stakeholders, clients, and external partners.
  • High emotional intelligence and discretion when handling confidential information.
  • Experience with marketing coordination or digital content scheduling is advantageous.

Responsibilities

  • Manage executive calendars, appointments, and meeting logistics.
  • Monitor and triage professional inboxes, drafting communications and prioritizing urgent matters.
  • Record meeting actions, decisions, and deadlines, ensuring clear ownership and follow-through.
  • Act as a professional point of coordination for clients, suppliers, and internal teams.
  • Develop and maintain administrative procedures, templates, and filing systems to improve operational efficiency.
  • Coordinate operational workstreams, tracking milestones, risks, and project documentation.
  • Maintain accurate CRM records and monitor client opportunity pipelines.
  • Support marketing and content coordination, including scheduling and campaign tracking.
  • Provide strategic administrative support to senior leadership, including reporting and documentation.
