Requirements

  • Bachelor’s degree in administration or a related field; additional training in paralegal studies or legal assistance is highly valued.
  • 3+ years of experience in U.S.-based legal processes, including immigration, court, family, or business law cases.
  • 5+ years of experience in team supervision or leadership roles, preferably within legal or administrative environments.
  • Fully bilingual English proficiency (written and spoken), with strong ability to draft legal documentation and communicate in professional legal contexts.
  • Proven experience managing legal case files and using case management systems such as Docketwise or similar platforms.
  • Strong knowledge of Microsoft Office tools (Word, Excel, Outlook) and remote collaboration systems.
  • Excellent organizational skills with strong attention to detail and ability to manage high-volume, deadline-driven workloads.
  • Strong leadership, communication, and interpersonal skills with a service-oriented mindset.
  • Ability to work independently in a fully remote environment while maintaining structure, accountability, and consistency.

Responsibilities

  • Oversee and manage end-to-end legal case processing, including preparation, review, and submission of legal documentation across immigration, family, and business matters.
  • Maintain and organize physical and electronic case files, ensuring accuracy, compliance, and strict adherence to deadlines and procedural requirements.
  • Supervise and guide legal assistants and paralegals, assigning tasks, reviewing work quality, and ensuring efficient workflow execution.
  • Coordinate communication with clients, attorneys, government agencies, and third parties to ensure timely and professional case progression.
  • Monitor case status continuously, identifying risks, delays, or inconsistencies and implementing corrective actions when necessary.
  • Support reporting, documentation standards, and internal audits to ensure operational compliance and quality assurance.
  • Lead or contribute to process improvement initiatives, standardization of workflows, and knowledge management practices.
  • Assist in coordinating notarizations, signatures, and formal document submissions in alignment with legal requirements.
