Requirements
- Minimum of 5 years of experience in project coordination, project management support, operations, consulting, education, nonprofit, or similarly fast-paced environments.
- Demonstrated ability to manage multiple projects, competing priorities, and deadlines with exceptional attention to detail and follow-through.
- Experience maintaining large-scale project trackers, databases, or reporting systems involving numerous stakeholders and deliverables.
- Proficiency with project management and collaboration tools such as Monday.com, Asana, Smartsheet, Notion, or similar platforms.
- Strong working knowledge of Google Workspace, Microsoft 365, and calendar management systems.
- Excellent written and verbal communication skills, with the ability to engage confidently with senior leaders, clients, vendors, and external partners.
- Strong organizational, problem-solving, and critical-thinking abilities.
- Ability to anticipate challenges, identify solutions proactively, and keep projects moving forward with minimal oversight.
- Experience synthesizing information from multiple sources and presenting clear project updates, risks, and recommendations.
- Ability to work independently while effectively managing complex stakeholder relationships in a remote environment.
- High level of professionalism, discretion, and judgment when handling sensitive or confidential information.
Responsibilities
- Coordinate and manage scheduling for project meetings, client engagements, working sessions, recurring check-ins, and stakeholder events across multiple teams and workstreams.
- Prepare meeting agendas, pre-read materials, and supporting documentation while capturing, tracking, and following up on action items to ensure commitments are completed.
- Manage multiple concurrent projects with overlapping timelines, priorities, and stakeholders, maintaining organization and visibility across all initiatives.
- Serve as a key coordination point between internal teams, external partners, vendors, contractors, and clients, ensuring timely communication and follow-through.
- Maintain the accuracy and integrity of project management systems, trackers, timelines, and documentation.
- Monitor project milestones, deliverables, and deadlines while proactively identifying risks, blockers, and potential delays.
- Produce status reports and project updates that provide leadership with clear visibility into progress, priorities, and next steps.
- Support vendor and contractor onboarding processes, ensuring alignment with project expectations, timelines, and deliverables.
- Facilitate cross-functional communication between operational, technical, academic, and external partner teams.
- Identify opportunities to improve project coordination processes, documentation standards, reporting practices, and workflow efficiency.
