Requirements

  • 1-3 years of experience in scheduling, coordination, administrative operations, or customer service.
  • Demonstrated ability to manage high volumes of detail-oriented work.
  • Proficiency with Google Workspace.
  • Comfort with software tools and willingness to learn new systems.
  • Strong written and verbal communication skills.
  • Experience with Sling, HubSpot, or similar scheduling and CRM platforms (Preferred).
  • Background in healthcare, home care, or regulated service environment (Preferred).
  • Experience supporting a senior operator in a coordinator or junior analyst capacity (Preferred).

Responsibilities

  • Triage and resolve incoming scheduling tickets in HubSpot including sick calls, vacation requests, and shift swaps.
  • Manage scheduling data in Sling and HubSpot, ensuring accuracy of client schedules and caregiver availability.
  • Escalate complex scheduling issues to the Operations Scheduler with clear analysis and documentation.
  • Perform weekly hygiene audits to identify and resolve data mismatches.
  • Provide surge support during high-volume periods, holidays, and unexpected disruptions.
  • Serve as a frontline communication point for caregivers regarding routine scheduling inquiries.
  • Maintain responsive communication and partnership with Care Managers.
  • Generate reports on utilization, adherence, and scheduling KPIs.
