Requirements
- Minimum of 2+ years of experience in matter maintenance, legal operations, accounting, financial analysis, or related law firm environments.
- Previous experience working within a law firm or professional services organization is strongly preferred.
- Familiarity with legal intake, billing, or accounting platforms such as Upfront, Aderant, or similar systems.
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a high-volume environment.
- Excellent attention to detail and analytical capabilities to validate information and identify potential errors.
- Ability to exercise sound judgment, maintain confidentiality, and communicate professionally across teams and leadership levels.
- Experience with research tools, ticketing systems, and enterprise-wide project coordination is considered a plus.
- Strong written and verbal communication skills with a proactive, solution-oriented mindset.
Responsibilities
- Manage and process post-opening matter maintenance requests, including billing updates, rate changes, matter transfers, and client record modifications.
- Review incoming requests through ticketing and intake platforms to ensure completeness, accuracy, and appropriate approvals before processing.
- Maintain accurate client and matter data across firm systems while ensuring compliance with internal policies and client billing requirements.
- Perform quality control checks, identify inconsistencies or data discrepancies, and coordinate corrective actions when needed.
- Collaborate with finance, billing, and administrative teams to support accurate rate structures and client-specific billing arrangements.
- Track request status and maintain detailed audit trails to ensure timely completion and operational transparency.
- Provide professional communication and support to attorneys, staff, and stakeholders while handling sensitive information with discretion and confidentiality.
