Requirements

  • Minimum of 3 years of experience in executive support, business operations, project management, or related roles supporting senior leadership.
  • Strong organizational and multitasking abilities with experience managing multiple projects and priorities simultaneously.
  • Advanced proficiency with Google Workspace and familiarity with project management tools such as Asana, Monday.com, or ClickUp.
  • Ability to quickly learn and adapt to CRM systems, AI tools, and evolving operational technologies.
  • Excellent verbal and written English communication skills with the ability to interact confidently across all organizational levels.
  • Strong attention to detail, process-oriented mindset, and proactive problem-solving capabilities.
  • High level of discretion and reliability when handling confidential information and executive communications.
  • Comfortable working in a fast-paced remote environment while maintaining professionalism and consistent performance.
  • Reliable home office setup, including high-speed internet, backup connectivity, appropriate hardware, webcam, and noise-canceling headset.

Responsibilities

  • Manage complex executive calendars, meetings, and scheduling priorities to ensure leadership teams remain aligned and prepared.
  • Serve as a central communication point for executives by handling emails, calls, and stakeholder coordination efficiently and professionally.
  • Support the day-to-day operations of the executive office, including document management, confidential communications, and administrative coordination.
  • Oversee internal projects from initiation to completion, tracking milestones, deadlines, deliverables, and accountability across teams.
  • Coordinate cross-functional workflows and ensure projects remain organized, prioritized, and executed effectively.
  • Conduct research and prepare structured reports, summaries, and presentations to support strategic initiatives and decision-making.
  • Continuously identify opportunities to optimize workflows, improve operational processes, and enhance team productivity using digital tools and systems.
  • Maintain strict confidentiality and professionalism when handling sensitive business and client information.
