Requirements

  • Must be available Monday, Tuesday, Wednesday, Saturday & Sunday, 3:00 PM–11:00 PM EST (40 hours/week), with flexibility as needed.
  • Completed a medical office administration program or equivalent education in a related field.
  • Minimum 2 years of experience in a medical office or clinical support role.
  • Experience with an EMR and comfort learning new software systems quickly.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Able to work independently in a remote environment while staying closely connected to the team.
  • Fluent in English.
  • Must have a suitable remote workspace where patient privacy can be maintained.
  • Bilingual in French is an asset.
  • Experience in virtual care and/or customer service is an asset.

Responsibilities

  • Support healthcare practitioners with day-to-day clinical administration, including document management, scheduling, and audio/video consultation coordination.
  • Own file management: consolidate, update, and maintain electronic records, including labs and referrals.
  • Track lab requisitions end-to-end — ensuring results and documentation are received in full, following up with labs and patients when outstanding.
  • Serve as a liaison between pharmacy and healthcare practitioner communications.
  • Respond to patient inquiries and support patient care pathways in collaboration with the broader care and support teams.
  • Handle inbound faxes, voicemails, and other communications from external stakeholders.
  • Assist practitioners with editing and managing medical and insurance forms.
  • Perform data entry and administrative tasks in support of lab management processes.
  • Help maintain clinical documentation and keep training materials up to date.
  • Contribute to QI/QA initiatives.
  • Act as a personal health information delegate, upholding strict patient confidentiality at all times.
