  • 6 months to 1 year of experience in administration or virtual assistance
  • AI-First Mindset: Proficiency with or a strong willingness to master AI tools like ChatGPT or Claude
  • Strong communication skills across various platforms (phone, email, instant messaging)
  • Proficiency with Google Workspace and Microsoft Office
  • Excellent communication and problem-solving skills
  • Quiet home office, stable internet (>= 10 Mbps down / 2 Mbps up), and backup connection
  • Bachelor's or associate degree preferred
  • Proven experience as a Virtual Assistant or in a similar remote administrative support role
  • Excellent written and verbal communication skills
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively
  • Proficiency in using virtual collaboration tools such as Zoom, Microsoft Teams, Slack, Google Workspace, and other cloud-based applications
  • Self-motivated, detail-oriented, and able to work independently with minimal supervision
  • Reliable internet connection and a suitable home office environment for remote work
  • Ability to handle confidential information with discretion and professionalism
  • Flexibility to adapt to changing priorities and work in a fast-paced environment

Responsibilities

  • Document processes and maintain accurate records
  • Upload and organize files in Google Drive
  • Perform data entry and internal reporting tasks
  • Manage emails and communication with clients and vendors
  • Support research and document handling
  • Create and send statements or invoices, track payments, and record company expenses
  • Monitor projects, conduct internal communication & organize company data
  • Executing high-volume administrative workflows using established systems and tools
  • Leveraging AI and automation to increase speed and accuracy in task delivery
  • Building and maintaining repeatable processes to streamline client work
  • Managing and optimizing client systems, including inboxes, calendars, and CRMs
  • Coordinating complex scheduling, meetings, and travel arrangements
  • Identifying inefficiencies and proactively improving workflows
  • Reply to emails, follow up on correspondence, organize inbox as per client preferences, and notify clients about important emails
  • Convey information to incoming calls & make calls for appointments or conduct informational inquiries
  • Research products, purchase goods & secure samples
  • Prepare lead lists or meeting minutes, transcribe audio recordings, other information, and organize research notes
