Requirements
- 2+ years experience in VA, admin, operations, or support roles
- Strong English communication skills (written and verbal)
- Highly organized and detail-oriented under pressure
- Comfortable working independently without constant supervision
- Able to manage multiple tasks without dropping follow-ups
- Willing to work US-aligned hours from the Philippines
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail)
- Experience with Project management tools (Asana, ClickUp, Trello or similar)
- Familiarity with CRM or internal tracking systems (if applicable)
- Proficiency in Communication tools (Slack, Zoom, email systems)
Responsibilities
- Execute operational tasks across the business with speed, accuracy, and full ownership
- Handle day-to-day operational tasks across multiple functions
- Coordinate between people, tools, and systems
- Follow instructions and fill gaps when instructions are incomplete
- Keep workflows moving without being reminded
- Own completion, not just activity
- Receive tasks from leadership and execute them immediately
- Break down unclear instructions into actionable steps
- Manage scheduling across multiple stakeholders and time zones
- Handle recurring admin tasks (documentation, updates, tracking, reporting)
- Ensure systems are updated in real time
- Spot missing tasks or gaps and close them without being asked
- Follow up with internal or external stakeholders until tasks are completed
- Use tools (CRM, spreadsheets, project management systems) accurately and consistently
- Take full ownership of assigned tasks from start to finish
- Define next steps when missing
