Requirements

  • 2+ years experience in VA, admin, operations, or support roles
  • Strong English communication skills (written and verbal)
  • Highly organized and detail-oriented under pressure
  • Comfortable working independently without constant supervision
  • Able to manage multiple tasks without dropping follow-ups
  • Willing to work US-aligned hours from the Philippines
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail)
  • Experience with Project management tools (Asana, ClickUp, Trello or similar)
  • Familiarity with CRM or internal tracking systems (if applicable)
  • Proficiency in Communication tools (Slack, Zoom, email systems)

Responsibilities

  • Execute operational tasks across the business with speed, accuracy, and full ownership
  • Handle day-to-day operational tasks across multiple functions
  • Coordinate between people, tools, and systems
  • Follow instructions and fill gaps when instructions are incomplete
  • Keep workflows moving without being reminded
  • Own completion, not just activity
  • Receive tasks from leadership and execute them immediately
  • Break down unclear instructions into actionable steps
  • Manage scheduling across multiple stakeholders and time zones
  • Handle recurring admin tasks (documentation, updates, tracking, reporting)
  • Ensure systems are updated in real time
  • Spot missing tasks or gaps and close them without being asked
  • Follow up with internal or external stakeholders until tasks are completed
  • Use tools (CRM, spreadsheets, project management systems) accurately and consistently
  • Take full ownership of assigned tasks from start to finish
  • Define next steps when missing
