Requirements:
Natural gift for administration, organization, structure, and precision. Experience in executive administration, office management, travel coordination, and expense processing. Strong organizational and multitasking abilities. Dynamic and adaptable to a fast-paced environment. Excellent communication skills. Proficiency in Google Suite, expense management platforms (e.g., Navan, Expensify), and facility management tools (e.g., WeWork, Industrious). Ability to handle confidential information with discretion. Proactive and resourceful, works independently.
Responsibilities:
Manage complex executive scheduling across multiple time zones. Plan and coordinate internal meetings, retreats, and company events. Handle executive travel arrangements and detailed itineraries. Process and track executive and company expenses. Create and process purchase orders. Support executives with meeting preparation and project tracking. Liaise between executives and key stakeholders. Direct team members to Notion pages for location-specific information. Track office usage and assist with contract renewals. Work with Finance to ensure timely rent and utility payments for co-working spaces. Support team members with guidance on keycard or temporary access. Maintain and update office-related resources in Notion. Assist with workspace adjustments as needed.
