Requirements:
3+ years of experience supporting operations, events, or executive-level workflows end-to-end. Strong written and verbal English communication skills with confident client-facing presence. Experience supporting sales or top-of-funnel workflows and outreach processes. High attention to detail with consistent follow-through and loop-closing habits. Ability to own workflows independently with minimal supervision. Prior experience with event activations, media, partnerships, or experiential marketing (preferred). Hands-on experience with HubSpot CRM pipeline management (preferred). Experience creating SOPs, templates, and operational documentation (preferred). Familiarity with album or digital asset distribution workflows (preferred). Basic design or deck customization experience using Figma (preferred).
Responsibilities:
Own pre-event activation workflows end-to-end, including decks, pricing proposals, asset collection, distribution setups, and invoicing. Maintain and update the status of 100+ concurrent activations with clear blockers and next steps. Execute pre-event checklists and ensure clean handoffs to internal activation teams. Ensure all activation deliverables are complete, accurate, and delivered on schedule. Maintain HubSpot pipeline hygiene with accurate statuses, timestamps, and contact histories. Manage activation trackers, reporting spreadsheets, and distribution logs. Ensure CRM records reflect ownership, follow-ups, and relationship context at all times. Act as a client-facing point of contact for pre-event logistics, questions, and coordination. Manage scheduling, meeting preparation, and consistent follow-up cadences. Coordinate travel, vendors, and pre- and post-event asset distribution as needed. Build and execute templated email sequences, follow-ups, and scheduling workflows. Support creation of activation proposals and pricing templates. Assist with light prospect qualification and scheduling to support leadership efficiency. Create and maintain templates, checklists, and SOPs for activation and post-event workflows. QA all deliverables prior to partner delivery, ensuring accuracy and completeness. Identify recurring operational bottlenecks and implement repeatable improvements.
