Requirements:
2–5 years of experience in commercial interiors, including dealer, manufacturer, A&D support, project coordination, or order management Hands-on experience using ProjectSpec and/or Khameleon for commercial furniture order building and processing Experience with at least one related platform such as ProjectMatrix, CET, Hedberg, CORE, Acumatica, or similar systems Strong understanding of commercial furniture products, SKUs, finishes, COM/COL, and dealer/manufacturer order workflows Experience with budget quotes, pricing validation, margin awareness, and order acknowledgments Clear, professional communication with vendors, designers, reps, and project managers Ability to manage multiple orders and projects simultaneously Exceptional attention to detail and accuracy in data entry and documentation Strong organizational skills
Responsibilities:
Convert approved quotes and specifications into accurate customer orders and purchase orders Enter and process orders using ProjectSpec and/or Khameleon Verify product specifications, finishes, SKUs, COM/COL requirements, pricing, and discounts Ensure timely PO placement and track orders from submission through acknowledgment and shipment Interpret and work from specifications created in ProjectSpec, ProjectMatrix, CET, or similar systems Maintain organized project documentation Update internal systems (Khameleon, CORE, Acumatica, etc.) with order data, shipping details, and revisions Support designers and project managers by reviewing line items for completeness and accuracy Communicate with manufacturers, reps, and vendors regarding pricing, availability, lead times, and shipping Resolve discrepancies between purchase orders and acknowledgments Provide clear, timely order status updates to internal teams Track orders through the full lifecycle Identify and correct errors in pricing, specifications, finishes, quantities, and COM/COL details Proactively flag missing information or risks Maintain accurate order and shipping data Assist with resolving damages, backorders, returns, and re-orders
