Requirements:
2+ years of fulltime experience in recruiting coordination, HR operations, or administrative support. Demonstrated experience owning complex interview scheduling, including multi-interviewer loops, last-minute changes, and coordination across time zones. Experience serving as a direct point of contact for candidates throughout the hiring process. Exceptionally organized with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously. Strong interpersonal and written communication skills. Comfortable working in a fast-moving environment where priorities shift and creative problem solving is needed. High attention to detail with a commitment to accuracy and follow through. Able to work independently with a sense of urgency and a proactive mindset. Ability to handle sensitive and confidential information with professionalism and discretion. Familiarity with an ATS or CRM, GSuite, and Slack (or similar tool).
Responsibilities:
Own interview scheduling across all phases. Serve as the primary point of contact for candidates. Build strong relationships with key stakeholders. Maintain hiring systems by updating candidate statuses, posting/modifying jobs, managing pipelines, and ensuring data accuracy. Partner with recruiting and hiring managers to anticipate scheduling needs and proactively resolve conflicts or bottlenecks. Help standardize interview processes: manage scorecards, send prep materials, confirm interview readiness, and ensure hiring teams follow established best practices. Identify opportunities for interview process and system improvement. Assist in sourcing efforts by reviewing resumes, and potentially conducting initial screenings or building pipelines for priority roles.
