Requirements

- Bring outstanding project management and organizational skills, including strong attention to detail.
- Have experience planning and executing large-scale, multi-day conferences or retreats.
- Have experience planning and executing in-person and virtual events for groups of varied sizes.
- Be familiar with facilitating logistics for virtual events through Zoom.
- Show strong relationship-building skills and initiative, including the ability to build trust with peers and leaders.
- Be willing to travel up to 2–3 times per month, usually for 2–3 days, with four to six longer trips per year lasting about 4–5 days.
- Bring curiosity and drive to develop clear, effective, and efficient operational processes.
- Demonstrate a commitment to designing thoughtful, community-centered experiences.
- Show flexibility, optimism, and a desire to learn and grow.
Responsibilities
- Create and manage timelines, project plans, calendars, and operational logistics across projects.
- Support and progressively take ownership of the annual three- to four-day Team Retreat.
- Coordinate conference attendance, travel plans, event spaces, and attendee communications.
- Draft operations communications, including emails, Slack messages, participant guides, and logistics memos.
- Lead logistics for virtual and in-person workshops, inspiration visits, and events.
- Create and analyze team surveys, then share findings and next steps.
- Schedule internal meetings and project events, prepare agendas, take notes, and manage follow-through.
- Manage conference and event budgets, review and document expenses, and support teams in staying on budget.
- Support team projects such as planning stepbacks, grant reports, analytics, media editing, and cohort websites.
