Requirements

  • At least 4 years of experience in an executive support or executive administrative role.
  • Experience supporting multiple senior leaders in a fast-paced professional environment is preferred.
  • A bachelor's degree is preferred.
  • Experience managing complex schedules, coordinating projects, and preparing professional documentation.
  • Experience handling financial administration, invoicing, or expense reporting.
  • Strong organizational and project management skills, including managing multiple priorities and demanding deadlines while maintaining accuracy.
  • Advanced proficiency in Microsoft Office, particularly Outlook, Word, and Excel, as well as Microsoft Teams, SharePoint, and Salesforce.
  • Ability to handle confidential client information and sensitive business matters with discretion.
  • Ability to work effectively in a fully remote environment and maintain a private, quiet, professional home office.

Responsibilities

  • Manage complex calendars, coordinate internal and client meetings, resolve scheduling conflicts, and align priorities for two or three senior leaders.
  • Oversee project timelines, milestones, deliverables, and team communications.
  • Coordinate with internal and external stakeholders, organize team calls, compile data, and administer surveys.
  • Recommend approaches to prioritization, delegation, organization, and workload management, and identify process improvements.
  • Prepare and review client contracts, invoice requests, scheduling communications, report templates, and client-ready documents.
  • Manage client invoicing requests and expense reports, oversee audits and reconciliations, and support accurate billing and reimbursement.
  • Research and provide administrative and operational support for business development initiatives.
  • Monitor project milestones and progress against individual, team, and organizational goals, and provide timely updates.
  • Coordinate travel arrangements and support special projects.
