Requirements
- Have five or more years of experience supporting a senior executive, founder, or high-profile principal in a demanding, fast-paced setting.
- Demonstrate experience supporting or coordinating business operations such as finance, people operations, legal, or communications.
- Have startup or early-stage experience and comfort working in an all-hands-on-deck environment.
- Be fluent on Mac; the work environment is Mac, not Windows.
- Be an expert in Google Workspace, specifically Docs, Sheets, Slides, Gmail, and Calendar; Microsoft Office fluency does not substitute.
- Be fluent in Slack.
- Be comfortable working in an applicant tracking system; the company uses Ashby.
- Have experience with Ramp or a comparable expense and bill-pay platform.
- Have strong document production skills, including formatting headings, margins, tabs, and styles into a professional layout.
- Be comfortable with technology, quick to learn new tools, and able to troubleshoot independently.
- Demonstrate exceptional attention to detail, organization, judgment, discretion, ownership, and written and verbal communication.
- Be calm, composed, resourceful, and able to juggle competing priorities under pressure.
- Be highly responsive and available in a role that does not fit neatly into a nine-to-five schedule.
- Be self-directed and reliable in a fully remote environment.
Responsibilities
- Manage and orchestrate the CEO’s changing calendar across time zones, protecting time and priorities.
- Manage the CEO’s inbox, communications, and follow-ups, and draft and polish emails, presentations, memos, and reports.
- Coordinate board meetings end to end, including agendas, briefing materials, and follow-up action items.
- Plan leadership offsites, investor meetings, strategic planning sessions, team events, and domestic and international travel.
- Compile business development and investor slides and coordinate conference, speaking engagement, and professional network logistics.
- Process purchase orders, submit and track invoices through payment and reconciliation, and pay bills through Ramp.
- Coordinate contract routing, execution, reviews, status tracking, and organized records.
- Coordinate candidate scheduling and applicant tracking workflows; manage onboarding and offboarding logistics and people files.
- Assist with social media scheduling, update the company website, and support public relations and investor communications logistics.
- Manage software accounts, documentation, vendors, and operational workflows; improve manual and repetitive processes.
- Manage personal appointments, household tasks, family scheduling, medical and insurance administration, and personal travel for the CEO.
