Requirements

  • Previous experience as a Medical Virtual Assistant, Medical Assistant, Medical Receptionist, Patient Registration Specialist, or in a similar healthcare administrative role.
  • Hands-on experience with patient scheduling, rescheduling, and appointment coordination.
  • Experience verifying medical insurance information, patient eligibility, and demographic details.
  • Experience navigating EHR systems and maintaining accurate patient records.
  • Strong understanding of medical terminology and healthcare administrative workflows.
  • Clear, professional written and verbal English communication and professional phone etiquette.
  • Strong attention to detail, organizational skills, and ability to follow scheduling protocols.
  • Ability to multitask, solve problems, work independently within established protocols, and recognize situations requiring escalation.
  • Ability to handle confidential patient information in compliance with HIPAA regulations.
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available to work the full assigned Eastern Time schedule and attend video meetings with the camera on when required.
  • Must have a reliable computer, stable high-speed internet connection of at least 25 Mbps, noise-canceling headset, working webcam, and quiet professional workspace.
  • Preferred: experience supporting a U.S.-based primary care practice, AdvancedMD, Ooma or similar VoIP systems, high-volume practices, and referral or specialist appointment coordination.

Responsibilities

  • Schedule appointments for new and established patients across multiple providers.
  • Manage appointment rescheduling and confirm appointment details.
  • Communicate appointment requirements and relevant instructions to patients.
  • Coordinate referrals and specialist appointments when applicable.
  • Verify and update patient demographic information and insurance eligibility and coverage.
  • Enter insurance information and maintain complete, up-to-date patient charts in AdvancedMD.
  • Document scheduling activities, insurance details, and relevant patient communications.
  • Identify and correct discrepancies or incomplete registration and insurance information.
  • Maintain patient confidentiality and follow HIPAA guidelines.
  • Escalate complex concerns to the provider or office manager when necessary.
