Requirements
- Have 5+ years of progressive experience in leave of absence administration.
- Have direct ownership of FMLA, disability, and multi-state leave compliance.
- Have working knowledge of ADA interactive process requirements as they intersect with leave.
- Understand state-specific leave laws, including pregnancy disability leave, paid family and medical leave, and domestic violence leave, and how they interact with federal requirements.
- Have experience partnering with payroll and third-party leave or disability administrators.
- Use strong judgment when handling sensitive, confidential employee situations.
- Explain complex leave rules clearly to employees and managers, both in writing and verbally.
- Preferred: prior exposure to health and welfare and retirement benefits administration.
- Preferred: CLMS, CEBS, PHR, or SHRM-CP certification.
- Preferred: experience with HRIS and leave management systems such as Workday or similar.
Responsibilities
- Administer FMLA, state family and medical leave, pregnancy disability leave, ADA-related leave, military leave, domestic violence and safe leave, and company-provided leave programs.
- Track eligibility, certifications, and entitlement balances across concurrent leave types.
- Manage intermittent and reduced-schedule leave requests and ensure time is tracked in compliant increments.
- Coordinate with payroll, workers' compensation carriers, and short- and long-term disability vendors on pay, benefits continuation, and return-to-work processes.
- Guide managers and employees through leave requests while maintaining confidentiality.
- Monitor state and federal legislative changes and update leave policies and processes.
- Maintain leave-related records, reporting, and audit readiness, and prepare documentation for complex or contested cases.
- Support health, welfare, and retirement benefits administration, including enrollment, life-event changes, COBRA, and vendor escalations.
- Maintain and improve leave and benefits processes, manager training documentation, and related system implementations or upgrades.
